About this tool

Works out each day’s hours from start and end times minus the unpaid break, adds up the week, and splits it into regular hours and overtime above the weekly limit you set. A shift that ends after midnight counts into the next morning. Nothing is saved or sent.

Checking a payslip or filling in a time sheet means adding up times like 08:00 to 17:00 minus a 30-minute lunch, which is easy to get wrong in your head. Enter your start and end times and breaks for each day of the week, and the calculator gives the hours per day, the weekly total, any overtime above your limit and, with an hourly rate, the pay. Leave days you did not work empty.

How to use the Time Card Calculator

  1. Enter the start and end time and the unpaid break in minutes for each day you worked.
  2. Leave the days you did not work blank.
  3. Optionally enter your hourly rate, the weekly hours after which overtime starts and the overtime multiplier.
  4. Read the hours per day, the weekly total, overtime and pay.

A standard week

Working 08:00 to 17:00 with a 30-minute break from Monday to Thursday is 8 hours 30 minutes a day, 34 hours in all. Friday 08:00 to 15:00 with a 30-minute break adds 6 hours 30 minutes, for 40 hours 30 minutes. With overtime after 40 hours at 1.5 times a rate of 25, the pay is 40 × 25 + 0.5 × 25 × 1.5 = 1 000 + 18.75 = 1 018.75.

Hours, minutes and decimal hours

Time sheets mix two ways of writing time. Clock time uses hours and minutes, so 8:30 means eight and a half hours. Payroll often uses decimal hours, where half an hour is 0.5 and 15 minutes is 0.25, so 8:30 becomes 8.5. Mixing them up is a common payroll error: 8.30 is not 8 hours 30 minutes. This calculator shows both. Overtime rules depend on your country and contract. Many places use a weekly limit, such as 40 or 45 hours, with overtime paid at one and a half times the normal rate; some also have daily limits or higher rates for Sundays and public holidays. Check your contract or local labour law for the rules that apply to you.

Frequently asked questions

How do I convert minutes to decimal hours?

Divide the minutes by 60. 45 minutes is 0.75 hours, so 7 hours 45 minutes is 7.75 hours.

Does it handle night shifts?

Yes. If the end time is earlier than the start time, the shift is taken to end the next day, so 22:00 to 06:00 is 8 hours.

Are breaks paid?

The break you enter is subtracted as unpaid time. If your breaks are paid, enter 0.

What overtime rate should I use?

Use the rate in your contract. 1.5 times the normal rate is common, but it varies by country and employer.
